Message templates are a powerful tool designed to enhance consistency, improve communication speed, and facilitate standardization across your programs. By using predefined structures and content, you save time and effort and ensure uniform, high-quality messaging.
Managing message templates
To create a new template, follow these steps:
Navigate to the User dropdown > Message templates.
Click Add new template.
Fill in the required Title for your template.
Enter the message Content.
Click Save.
Variables and Placeholders
To assist in crafting personalized templates that seamlessly adapt to specific use cases, you can enrich your content with variables and placeholders.
A variable can be incorporated into a template by typing "{{" and choosing one from the available options in the dropdown:
Your username
Researcher user name
Company name
Program name
Submission title
A placeholder defines a part of the template that requires manual input before the message can be sent. A placeholder can be incorporated into a template by typing {{ placeholder text }}. When a template is inserted, placeholders are highlighted to reduce the chances of accidentally sending out unfinished messages.

Sharing massage templates

To enhance consistent messaging across your organization, Company Administrators can distribute frequently used templates to all company users.
Once shared, the template becomes accessible to everyone in your organization. All Company Administrators have the ability to manage the shared template, including the options to edit, delete, and unshare. If the template is unshared or deleted, it will no longer be accessible to company members.
π‘Note: You can configure a personal shortcut for any template that is shared with you.
Inserting message templates
Once successfully saved, your message templates become available in the message markdown editor. There are two ways to insert a template:
Dropdown menu: Locate the template by choosing one from the message template dropdown.
Personal shortcut: Use your personal shortcut by typing
/followed by the shortcut name.
The selected template will be inserted, variables will automatically filled and placeholders will be highlighted.

Define templates for recurring events or communication types (e.g., initial acknowledgment, review delay, information request) to save time and effort and ensure uniform, high-quality messaging.
Include placeholders for information that must be customized per message (e.g., specific dates, topics, or specific questions) to avoid sending generic messages.
Company Administrators should share high-value templates with the entire team to drive consistency across all programs and users.
